Changing a SuiteCRM record owner is often treated as a single field update: Assigned To moves from one user to another. Related Meetings, Calls, documents, and other related records may still sit with the previous owner.

This article explains that ownership problem and how administrators can reassign related records in SuiteCRM when a parent owner changes. It also covers a separate Mass Re-assign Tool for transferring selected module records between users.


Why Record Ownership Changes Can Affect Related Records

An Account assigned to User A can have related activity such as Meetings, Calls, related documents, and other related records that User A owns. If the Account is later assigned to User B, changing only the Account Assigned To value does not address those related records.

Organizations often restrict visibility so a sales or support user sees their own records. If related activity stays assigned to User A, User B may not see that customer conversation and follow-up.


What Happens When a SuiteCRM Parent Record Changes Owner?

Parent record ownership changes when Assigned To is updated. Related records may still belong to the previous owner. The new owner therefore may not own those related records.

Reassigning configured related records can transfer them to the new owner. Changing Assigned To on the parent record alone does not do this. You configure which related modules should follow the new owner.

The related-record flow is:

  1. A parent record has an Assigned To user.
  2. The parent Assigned To value changes.
  3. The add-on detects that ownership change.
  4. Configured related modules are checked.
  5. Related records assigned to the previous owner for that parent are reassigned to the new owner.
  6. Assignment notifications can be configured for selected modules.

Ownership of related records is carried forward to the newly assigned user based on that configuration—not based on every relationship on the parent.


Configure Which Modules Should Be Reassigned

Organizations use modules differently, so you can configure:

  • Module — the parent module whose related records can be transferred, and where assignment notification can be selected
  • Related Module — which related records should be carried forward
  • Notification — whether assignment notification should be sent for selected modules during related-record reassignment

The Module value identifies the parent. The Related Module value determines which related records follow the new owner.


How Related Modules Are Selected

The Related Module list is the relationship-module list for the selected parent. Only the selected related module is carried forward for assignment.

The add-on then checks records assigned to the previous owner for that parent and reassigns them to the new owner. Administrators must configure the related modules they need. Not every relationship is automatically reassigned.


Assignment Notifications During Reassignment

Administrators can choose modules for assignment notification when relational records are reassigned.

Those notifications follow SuiteCRM Admin email settings for Assignment Notifications. If Assignment Notifications are disabled, the email is not sent.


Example: Reassigning an Account to a New Owner

For example, an Account named “Urdhva Tech” is assigned to Jessica. Jessica has related Meetings, Calls, related documents, and other configured records for that Account.

For a geographical or organizational change, the Account is reassigned to Sarah by changing Assigned To. If only the Account owner changes, Sarah may not see Jessica’s Meetings, Calls, and other related activity.

With related-record reassignment configured, related records assigned to Jessica for that parent can be reassigned to Sarah. What actually moves depends on the Related Module settings. The purpose is so the new owner can work from the related customer activity that was assigned to the previous owner.


Why Related Record Ownership Matters

The new Account owner may need those related activities and customer information. If related records remain with the previous owner, the new owner may not be able to manage them under rules where users see their own records only.

That can make activity harder to track for the new owner.


What Is the SuiteCRM Mass Re-assign Tool?

There is also a Mass Re-assign Tool. It lets administrators transfer ownership of module records between users across selected modules.

This is useful when a user leaves the organization, changes roles, or when ownership needs to be restructured. It is not a substitute for related-record reassignment when a parent Assigned To value changes.

You can:

Use it when a parent record owner changes and configured related records should follow the new owner. Typical situations include Account ownership transfer, sales or support ownership changes, and other organizational changes.

It runs when the parent Assigned To value changes, for the related modules you have configured.


When Should You Use Mass Re-assignment?

Use Mass Re-assign when administrators need to transfer module records from one user to another across selected modules, with optional field-level filters.

Typical situations: an employee leaves, a role changes, or ownership is restructured. Matching records can be reassigned in one action. Related-module records are still not included.


A Practical Ownership Transfer Workflow

For Parent + Related Records

  1. Identify the parent module.
  2. Configure the relevant related modules.
  3. Configure assignment notifications if required.
  4. Change the parent’s Assigned To user.
  5. Configured related records assigned to the previous owner are reassigned to the new owner.
  6. Review the assignment outcome.

For Mass Reassignment

  1. Select From User.
  2. Select To User.
  3. Select the modules.
  4. Apply field-level filters.
  5. Reassign matching records.

The Mass Re-assign Tool does not reassign related-module records. If related activity must follow a new parent owner, use related-record reassignment, not Mass Re-assign alone.


Common Reassignment Mistakes to Avoid

Watch for these configuration gaps:

  • Changing only the parent owner when related records also need reassignment
  • Forgetting to configure the relevant Related Module
  • Assuming every related module is reassigned automatically
